Job Description

We are currently looking for our:

Project Manager – Tenant Coordination (Culver City & Fashion Square)

What we offer

The Project Manager, Tenant Coordination leads the opening coordination efforts for operational centers or development projects working on core and complex projects, including significant Landlord work (in-line mercantile, restaurant/hospitality, assembly, medical and common area kiosks) within a portfolio of shopping centers. Responsible for day-to-day project management success of Tenant project phases including planning, design drawings, construction and opening. This position will serve as the functional expert regarding base building and associated systems, tenant design criteria, Tenant Construction “Rules and Regulations”, base building infrastructure and jurisdictional requirements including entitlements, permitting and inspections. Represents the Landlord, coordinates with the Tenant, Corporate teams, and Center Operations teams to assure each deal and Tenant opening aligns to business objectives and meets or exceeds the Rent Commencement Date.

Scope

Prospecting, Estimating and Feasibility Studies

  • Facilitates and supports Leasing efforts during the deal-making process to ensure that proposed Tenant spaces and uses are feasible and align with overall base building and center strategies. Coordinates and advises Leasing on prospective Tenant uses and designs and develops conceptual budgets and schedules.
  • Fields pre-Leasing Letter of Intent requests, coordinates with Leasing and Center Operations on Landlord and Tenant Work scope due diligence to verify existing conditions. Completes feasibility studies, identifies, and produces applicable Landlord Scope of Work and cost estimates.
  • Generates documentation that represents the final Landlord Scope of Work for any deal which includes a budget, and produces a schedule for that work, identifying critical milestone dates. Presents to internal business partners and requests approvals to proceed. Tracks construction project costs and enforces contract provisions through the duration of the Landlord work.
  • Establishes and reviews and approves milestone schedules and Landlord budgets in preparation for submission to URW Real Estate Committee for approval. Accountable for delivering project phases to ensure store openings occur on time and on budget.

Approved Deals, Lease Negotiation and Landlord Work

  • Produces Requests for Proposals MS to obtain competitive bids and cost estimates.
  • Reviews Landlord Work bids and drawings to ensure all required scope of work is properly documented and included and pursues required revisions with Architects, Engineers and/or the General Contractor.
  • Prepares and tracks project schedules to ensure Tenants adhere to the agreed “baseline schedule” to meet all critical milestone dates. Collaborates with stakeholders to meet the Landlord space delivery date, per the Leasing Deal Sheet.
  • Escalates in a timely manner significant issues (cost overrun and/or schedule delay) that present a risk to approved budgets to their immediate supervisor and business partners and works to optimize outcomes.
  • Performs a Plan Review of both design and technical aspects of Tenant plans including architectural, structural, mechanical, electrical, plumbing and sign drawings. Interfaces with Tenants and Architects to review, comment and approve construction drawings ensuring alignment between Landlord and Tenant work responsibilities. Ensures full lease compliance including with the Lease Outline Diagram and As-built construction. Collaborates with the Design Manager as Tenant design requires.
  • Provides direction to Tenants and their design and construction teams on center specific and jurisdictional information for expedient conflict resolution.
  • Provides store planning and design guidance to the Tenant’s team, when necessary, with expedient and effective communication. Maintains personal interaction and outreach through phone calls and email.
  • Collaborates with the internal Retail Plan Management Team to produce lease exhibits such as Lease Outline Drawings, cart and kiosk restrictions, dedicated parking fields, signage, etc.

Tenant Construction and Opening

  • Represents the Landlord’s interests between the Tenant and Tenant contractors, ensuring the Tenant is on time with design and construction documentation submission, permitting and construction and Landlord’s design and construction criteria is implemented as intended.
  • Works out of the shopping centers to monitor progress of any Landlord work and Tenant construction and promotes methods to expedite Tenant construction processes in collaboration with Center Operations Teams.
  • Conducts daily field inspections.
  • Accountable for conflict resolution with Inspectors and Jurisdictional Authorities and Tenant General Contractors to overcome barriers to ensure store openings as early as possible.

General Coordination

  • Develops a strong understanding of all properties, existing and proposed, under their purview, and associated building infrastructure and Tenant interface requirements, including all mechanical, electrical, plumbing, sprinkler, fire alarm/ life safety, and ADA.
  • Attends recurring action/asset meetings to ensure awareness of all aspects of the shopping center, especially on issues that pertain to Landlord Work, Delivery of Premises, Tenant’s design, construction and opening.
  • Supports Center Operations Teams with store opening progress and projections.
  • Develops and leverages relationships with Retail Partners, Architects/Engineers and General Contractors and consultants in the best interest of the organization.
  • Develops understanding of ordinances and other entitlement related restrictions and processes that exist at specific shopping centers.
  • Applies excellent verbal, written, visual, and negotiating communication skills and aptitude with both internal and external stakeholders.

What we are looking for

  • B.A. or B.S. degree or equivalent in Architecture, Construction Management, Project Management and/or equivalent experience.
  • 5-7 years of experience as a Project Architect, Project Designer and/or experience within an Architectural and/or Construction Management setting.
  • Experience in retail design and/or merchandising a plus, up to date knowledge of industry trends and best practices for retail and commercial sectors.
  • Demonstrated proficiency in, Microsoft Office (Word, Excel, PowerPoint), Bluebeam, Adobe Acrobat, Project Scheduling Applications. Quick to learn and adapt to new software and processes.

Compensation

  • Exempt
  • $96,000 – $125,000 + Discretionary Annual Bonus
