Job Description

Position : Executive Assistant

Working Schedule : 8a-5p PST

Salary Range : $2,500 - $3,300 (the final salary will be determined by the candidate's level of experience and at the discretion of the client)

Overview:

The Executive Assistant will provide high-level administrative support to executives, helping manage their schedules, communications, and critical tasks. This role is key to ensuring smooth operations and supporting the executive team in achieving their strategic objectives. The ideal candidate is organized, proactive, and adaptable, with strong problem-solving skills and the ability to handle sensitive information with confidentiality and discretion

Key Responsibilities:

  • Calendar Management/Scheduling: Manage and maintain the executive's schedule, including arranging meetings, appointments, and travel plans.
  • Email Handling: Monitor, manage, and respond to emails on behalf of the executive, ensuring timely and professional communication.
  • File Organization: Organize and maintain files on shared servers, ensuring easy access and retrieval of documents.
  • Internal and External Communications: Facilitate communication between internal teams and external clients, acting as a liaison to ensure effective collaboration.
  • Benchmarking Tasks: Conduct research and benchmarking activities to support executive decision-making.
  • Follow Up and Prioritization
  • Extraction of Information into Consolidated Formats

 

Qualifications:

  • A minimum of 3+ years of experience in a similar role.
  • Required to have a background performing in software companies or professional client services such as consulting, legal, accounting, and concierge
  • Proficient experience in Microsoft Suite
  • Proficient experience in Google Suite 
  • Organization: Highly organized with a keen attention to detail and the ability to manage multiple tasks simultaneously.
  • Communication Skills: Excellent verbal and written communication skills.
  • Tech-Savvy: Proficient in using various software and tools for communication and organization.
  • Proactive: Ability to anticipate needs and take initiative without requiring detailed instructions.
  • Assertive: Must have a great confidence and strong personality.
